Job description
This is a full time office (City f London location) based role.
Role Purpose:
To provide support to the office management department, to complete kitchen duties and to cover reception when needed.
Responsibilities:
General Facilities Assistant duties –
- Maintaining the internal social areas (including kitchen areas) to a high standard throughout the day, and replenishing supplies as and when required
- Ordering office supplies including stationery, drinks, and refreshments. Manage grocery account and twice-weekly deliveries
- Manage the franking of outgoing post and opening and dispensing incoming post to relevant departments
- Booking couriers when requested
- Collection of lunches required for events in the office
- Assisting Reception with keeping meeting rooms presentable throughout the day on both floors
- Raising facilities tickets with Building Management as and when required
- Carry out daily health and safety walks to ensure the environment is safe, secure and welcoming
- To assist with general ad-hoc duties when required by the Office Manager i.e. archive records, copying, scanning and assistance to other departments around the bank
Reception Support as and when required –
- Meeting and greeting staff and guests
- Meeting room booking co-ordination via Microsoft Outlook
- Delivering refreshments and lunches to meeting rooms when required
- Management of meeting rooms to include set-up and clearing
- Taking inbound calls from the reception phone and transferring to the relevant person or Group and/or taking accurate messages
Skills and Experience sought:
- Proficient IT knowledge, including Microsoft Office (Word, Excel, PowerPoint and Outlook are a must) and Microsoft Teams
- Ideally basic switchboard skills
- Well organised and proactive with a strong eye for detail
- Strong communication skills both verbal and written
- Good interpersonal and people skills
- Confident and calm under pressure
- Organised and efficient
